If staff have reached the point of putting an excursion into Engage then they should have already been through the approval process to have it placed on the calendar. They can do this by submitting an Activity and Venue Request form found on Domus.

 

They input all of the details and once they hit submit, the workflow will trigger a response to the relevant HoD, then the Head of School/Academic and then to the Planning Committee for final approval + copy in any relevant staff

 

The Planning Committee meet weekly to go through all requests that have come through so turnaround time is quite quick provided everyone in the workflow completes their task on time.

 

If approved, they will receive a response that looks like the attached screenshot.

 

If they scroll down past the approval history they will find next steps relevant to their activity. For excursions, it will read:

 

 

  1. Open Safe Trip Builder and complete a RAMP (Risk Assessment) for this Excursion/Incursion. Print when complete.
  2. Open Engage and access the Engage Activities Page
  3. Select Academic Year 2022 from the drop down.
  4. Click on Create Activity and enter a duplicate of the approved details from the Venue and Activity Request Form.
  5. Once complete, select: Create for Approval
  6. Return to Main Screen and re-open your Activity and Print screen (Ctrl+P)
  7. Drop the RAMP and Activity Details to EA to Deputy Principal (Main Admin Building)
  8. Wait for an email to approve your RAMP with any necessary feedback to amend.
  9. Return to Engage and open Activity Allocation. Find your approved Activity and and allocate your students. Click Save and Close when complete.
  10. Select the check box on the far right-hand side of your Activity.
  11. Click Enrol at the top of the page.
  12. Click Send Confirmation Notice. Your Activity has now been communicated to Parents to seek permission.
